what are we looking for
The Executive Assistant (EA) will provide critical administrative and operational support to our external sales team. This role ensures seamless execution of sales activities by managing meeting preparation, coordinating activity and follow-ups, maintaining accurate data, and generating key performance reports. Acting as a central point of support, the EA enables the team to focus on client engagement and revenue growth by ensuring all processes run thoroughly and efficiently.
WHAT WILL YOU BE DOING?
Meeting Preparation and Support
- Book meetings with key decision makers and influences, from site contacts to the C-suite.
- Prepare polished presentation decks, proposals, and client materials.
- Research key customer information, including identifying possible gaps in the customer utilisation and any issues with regards to profitability.
- Support the external sales team with meeting scheduling and logistics to ensure their time is fully and efficiently utilised.
- Assist with pricing preparation and quotes, ensuring accuracy and consistency.
Follow-Ups and CRM
- Coordinate follow-up actions from client meetings and ensure timely completion.
- Maintain accurate records of client interactions, outcomes and sales activities/next steps in CRM systems.
- Draft and manage follow-up communications.
- Keep CRM clean and accurate across contacts, deals, and activity; making sure all calls, meetings, and notes are up to date and relevant.
- Support with commercial quoting, applying sound reasoning (with guidance).
- Keep sales templates, decks, and pricing tools up to date. Help coordinate events, client hospitality, and team initiatives.
Reporting / Process Improvements
- Produce quick daily or weekly sales reports and dashboards to provide insights and summaries of activities to support decision-making.
- Download and present key metrics for the Sales Manager, covering number and/or quality of appointments, number of follow ups arranged and any other relevant information that may support continuous improvement within the team.
- Identify inefficiencies in current workflows and propose practical solutions.
- Implement streamlined processes to reduce administrative burden and improve accuracy and quality of data.
- Collaborate with internal teams to enhance systems and tools supporting sales operations.
WHAT WE WOULD LIKE TO SEE:
Essential experience, skills & attributes for the role:
- Excellent organisation and time management skills with the ability to multitask and prioritise effectively.
- Excellent attention to detail and accuracy in data handling.
- Commercially aware and comfortable with pricing discussions.
- Previous experience and confidence using CRM tools (HubSpot, Salesforce etc)
- Proactive problem-solving and process improvement mindset.
- Strong communication skills, both written and verbal, with a confident and professional manner.
- Friendly and supportive with the ability to engage effectively with stakeholders.
- Proactive, curious with a willingness to learn, thriving in a fast-moving team.
Desireable experience, skills & attributes for the role:
- Previous experience in sales operations, coordination or support.
- Understanding of sales processes within a B2B environment.
- Experience in process improvement or workflow optimisation.
